Job Opening: Member Engagement Coordinator

Reports to: Chief Executive Officer

POSITION DESCRIPTION AND REQUIREMENTS:

  • Organize and update ALEC Master Calendar and Website Calendar
  • Maintains online registration and provides attendance reports
    • Works with NRECA’s Education, Training, and Events continuing education credits
  • Create and update forms on website
  • Schedule Meetings and Training including but not limited to
    • Director Training
    • Employee Training
    • Assist the Loss Control and Safety Department with their schools and training
  • Negotiates Hotel and Meeting Facilities Contracts
  • Negotiates Food and Beverage/Banquet Orders
  • Works with other affiliates to schedule education opportunities
  • Manages all ALEC’s Subscriptions
  • Communicate with co-op administrative assistants to keep the CEO and co-op staff informed as well as other co-op employees and groups
  • Maintains office supply inventory and ordering
  • Schedules regular maintenance for office
  • Mutual aid data entry and support for cooperative operations
  • Administrative support for ALEC staff on various functions and duties
  • Updates agendas, itineraries, and documents
  • Communicates with Board of Directors
  • Assembles Board Packets and coordinates Board Meetings
  • Records Board Meeting Minutes
  • Event Planning
  • Assist Director for Louisiana’s Youth Tour with planning and chaperoning delegates in Washington, DC
  • Sells Raffle Tickets at all cooperative annual meetings
  • Maintains the CEO’s schedule
  • Assist ALEC staff with general office and phone coverage and serve as the point of contact for the CEO
  • Receive mail, sort, and deliver to ALEC staff
  • Maintains historical records and retention of ALEC documents and records
    • Assist ALEC staff with scanning, shredding, and filing needs when requested
  • Any other duties assigned by the CEO

Qualifications:

  • Professional verbal and written communication skills
  • Comfortable presenting in front of people and answering phones
  • Demonstrate initiative and self-motivation and be able to work with others with a positive attitude
  • Ability and willingness to provide after hours, weekends, and travel-based support as needed
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and other relevant software.
  • Ability to multi-task and willingness to learn new tasks
  • Full time in office position
